Job Summary:

We are looking for a reliable and organized Office Assistant to perform a variety of administrative and clerical tasks. The ideal candidate will help ensure the smooth day-to-day operation of our office by supporting staff, managing routine office duties, and assisting with basic data entry and communication tasks.

Key Responsibilities:

Administrative Support

* Assist in daily office operations and provide administrative support to staff.
* Handle phone calls, emails, and other communications professionally.
* Filing & Documentation
* Maintain and organize paper and electronic files.
* Prepare, scan, and photocopy documents as needed.

Data Entry

1. Input and update records, invoices, and other documents into databases or spreadsheets accurately.

2. Verify data for accuracy and completeness.

3. Scheduling & Coordination

4. Help schedule appointments, meetings, and conference room bookings.

5. Assist in coordinating travel arrangements and event planning.

6. Office Supplies & Inventory

7. Monitor and manage office supplies inventory.

8. Place orders for supplies and ensure timely delivery.

9. Reception Duties

10. Greet and direct visitors, clients, or vendors.

11. Maintain a clean and welcoming reception or front desk area.

12. Mail Handling

13. Sort, distribute, and send incoming and outgoing mail and packages.

14. Support to Other Departments

15. Provide general support to other departments as needed.

16. Assist in preparing reports and presentations.

Required Skills:

* Good verbal and written communication skills
* Basic computer skills (Microsoft Office: Word, Excel, Outlook)
* Strong organizational and multitasking abilities
* Attention to detail and accuracy
* Dependable and punctual
*Ability to maintain confidentiality and handle sensitive information

Qualifications:

1. High school diploma or equivalent (Associate's degree or office administration training is a plus)
2. Previous experience in an administrative or clerical role preferred, but not required
3. Familiarity with office equipment (e.g., printers, scanners, copiers)
